The Layout consists mainly two categories of stalls; a) Shell scheme (stand sizes: 9 sqm, 12 sqm, 18 sqm, 24 sqm, 36 sqm) b) Bare space 1-side, 2-sides, 3-sides & island styles depends on availability.

1.0 Registration
The users for participation in the exhibition at any form shall provide correct details about their legal name, email, correct address, mobile numbers and other relevant information, and keep it update always through users account. The account shall not be transferable. All requests have to be made in writing and form should be submitted with the Company seal and signature, submitted to Propikr Infratech Pvt. Ltd., the organizer. Every effort will be made to meet your requests; however, this will not be recognized as a condition for participation.
2.0 Payment Terms
a) The payment for stalls and other services booked must be made against a pro forma invoice or payment order which will be sent to the client by e-mail.
b) In some special conditions, the exhibitor can pay 50% amount of pay order as booking amount or advance and the organizer will hold the space for 30 days. The stall booking will not be confirmed until the exhibitor should pay 100% payment within 30 days of booking/ advance payment or before 30 days of exhibition start date whichever is earlier.
c) Stall booking with allotment on first come first serve basis on the approval of organizer with the receipt of full 100% payment.
d) The Payment for sponsorship, stall booking, conference, Advertisement, Advisory and other services with applicable taxes.
e) Payment to be made by Cheque / Bank Draft / Credit Card / Debit card / Internet banking / UPI/ E wallet. All payments by cheque or bank draft denominated in Indian rupees and issued in favour of "Propikr Infratech Pvt. Ltd." Payable at Gurgaon.
f) lf balance payment is not made before one months of the event start date then organiser reserve right to cancel booking, with no refund of advance payment.
g) Any special offers, discounts & Promotions can be cancelled without any prior intimation.
h) Form 16 should be provided by any participants to organizer within 30 days for any TDS.
i) Our sales team will calculate the total invoice amount as per your requirement and communicate the Proforma invoice to registered email. The stall booking confirmation will also be communicated after receipt of full payment in our account.
j) The GST will be applicable as per Govt. rules.
k) All the printing materials in hard copy will be provided by the respective advertiser at least 30 days before the start of exhibition for standee, flags, balloon and soft copy for fair catalogue & digital screen. The organizer will arrange to display only.
3.0 Exhibition space
a) Shell Scheme Stall accessories
Under the shell scheme stall, fascia board with company name, one table, three chairs, three spot lights, electric point and company entry in the official fair catalogue.
b) Bare Scheme Stall accessories
Under bare scheme/ Open to Sky Bare Space the electric connection and company entry in the official fair catalogue.
will be provided. Other stall structure and furniture has to be arranged by exhibitors through approved vendor for their allotted exhibition space.
The exhibitors are responsible for the setting up of their structure, it’s maintenance during the event and the dismantling after the event. The height of stand and decoration materials should not exceed 4.00 mtrs. and all the designs should be approved by the organizer on or before one month of the exhibition. All the vendors have to be approved by the organizer as per the security guidelines of Indian Exhibition Industry Association.
4.0 Possession of stalls
All stand construction, designs and display are expected to be ready on the first day of the exhibition, before 8am much before the inaugural time else the organisers reserve the right to re-allot the stall to other company without any intimation and refund.
a) The space (Shell Scheme) will be allotted on 11thApril after 01:00 p.m.
b) The space (Bare Scheme) will be allotted on 5th April’2025 after 11.00.a.m.
5.0 Display norms
a) Only exhibition theme related exhibits should be displayed.
b) Music systems and special lights used inside a stand should not cause inconvenience or annoyance to other exhibitors or visitors.
c) Exhibits must be positioned / displayed / demonstrated such that they will not obstruct pathway / public space or cause hazard to visitors / other Exhibitors.
d) Any exhibit or process, which generates noxious or toxic fumes, or smoke of any kind, is strictly prohibited. Also no fuel or inflammable material is allowed in the exhibition premises. The entire exhibition premises shall be No Smoking No Alcoholic Zone.
e) The exhibitors and visitors are fully responsible for their exhibits & belongings packaging for safety & Security
f) Entry to the exhibition premises will be permitted with the exhibitor’s badges
g) Exhibitors are requested to note that they would require a Gate pass for security purposes, in case they wish to take any exhibits / items in or out of the exhibition premises to the satisfaction of security agencies.
h) The sale of any products should be strictly as per statutory norms and Govt.tax policy.
i) Cleaning of individual stalls & exhibits is the responsibility of the exhibitors. Such cleaning should be done every day prior to the opening of the event.
j) The exhibitors & visitors are required to follow strictly the safety norms and avoid to bring any dangerous or fire hazardous materials and take all possible precautions for the health, safety and security of everybody in the exhibition premises.
k) The exhibitors of bare shell and open space system are responsible for the setting up of their structure, it’s stability, strength, maintenance during the event and the dismantling after the event.
l) Exhibitors are only permitted to distribute brochures or other advertising material from within their own stand. The display, distribution or presentation in any form beyond stalls or outside the stalls area is prohibited.
m) All the vendors have to be approved by the organizer as per the safety & security guidelines of Indian Exhibition Industry Association.
n) The exhibitors are advised to take care the safety and security of their expensive products. Do no leave the laptop, phones or any kind of valuables in the stalls.
6.0 Exhibitors Badge
Entry to the fairgrounds is not permitted without the exhibitor’s badges.
7.0 Gate Pass
The List of materials and equipment to be submitted to security office at the time of entry and exit at the exhibition gate. Exhibitors are requested to note that they would require a Gate pass for security purposes, in case they wish to take any exhibits / items out of the fair grounds. The Gate pass signed by authorized signatory would be available on written request at the organiser’s office. A final Gate pass would be needed on last day for the exhibitors to move out of the fair grounds.
8.0 Electrical connections
The exhibitors should get their electrical works done from the authorized electrical contractor appointed by the organisers only. If the exhibitors are getting own generator sets & electricians, should they seek the prior permission of the organisers. Requisitions for Extra Power Connection and Power Requirement (KW) should be made at the time of stall booking and exhibitor should pay extra electricity charges as applicable.
9.0 Cleaning & house keeping
The general cleaning of the venue will be managed by the organiser. Cleaning of individual stalls & exhibits is the responsibility of the exhibitors. Such cleaning should be done every day prior to the opening of the event in the morning.
10.0 The Brochure, Video or PPT
Reasonable efforts have been made in collecting, preparing and providing quality information from the past events in the region, but we do not warrant or guarantee the accuracy, completeness, adequacy or currency of the information. The brochure or any website contents has been drafted at the initial planning stage of expo so the exhibitors, sponsors or visitors are expected indicative figures only.
11.0 Advertisements & Display Materials
Exhibitors are only permitted to distribute brochures or other advertising material from within their own stall. The display, distribution or presentation in any form outside their stall is prohibited.
Advertisers will be fully responsible and accountable, ensure that all the ads materials including contents, pictures, logo, design to be owned, accurate, clear, legal, free from any controversy and full compliance of local and international laws. You give us permission to use your name, profile picture, video, content, and information in connection with commercial, sponsored, or related served or enhanced by us. Advertisers are responsible for understanding and complying with all applicable laws and regulations.
12.0 Dismantling & vacate the space
Dismantling of the displays will not be allowed before the closing time on the last day of the exhibition. The dismantling and removal of all the exhibit materials has to be removed by exhibitors immediately after closing time of exhibition. They should remove all the materials, equipment, manpower and handover the clean site before departure. Any penalty or additional charges levied by venue property owner due to delay in dismantling or removal of exhibitor’s belongings shall be liable to be pay by those exhibitors to the organizer.
Shell scheme: Vacate the Stall: Date 14th April’2025 from 9pm to 11.30 Pm
Bare scheme: Dismantle & Vacate the space complete: Date 14th April’2025 from 9pm to 15th April’2025 8 Pm
13.0 Refund & Cancellation of Stall
In case of withdrawn / cancellation by the exhibitor, the organiser reserve the rights of no refund as per the following conditions:
a) Cancellation before 6 months of the exhibition – 25% of the charges.
b) Cancellation before 4 months of the exhibition – 50% of the charges.
c) Cancellation before 3 months of the exhibition – 75% of the charges.
d) Cancellation within 1 month of the exhibition – 100% of the charges (No Refund).
14.0 Cancellation/ Postponement of Exhibition
The organizer shall have full rights to reschedule or cancel the exhibition in the event of insufficient booking of stalls, any kind of force majeure include Governments instructions, war, pandemic, natural disasters “act of God” such as a flood, earthquake, fire, heavy rain or hurricane or any other reason whatsoever, the amount given by the exhibitors, will be adjusted in the next event, however if the organizers cancel the exhibition then confirm exhibitors will get refund without any interest. The applicable GST amount will not be refunded.
The event that has already commenced if the Organisers are compelled to cancel or shorten an event that has already begun, as a result of unprecedented circumstances, exhibitors are not entitled to assert claims for repayment or exemption from the stand rental charges.
15.0 Prohibited Actions
a) User is restrained from allowing any person other than the authorized person(s) named in the application form to use the Service
b) Children below 18 years of age are not permitted to use the krishidisha.Propikr.com website.
16.0 General
a) The exhibitors are required to insure all their exhibits, manpower before getting them to the Venue.
b) The exhibition will be executed only if the Govt and/or local authorities give permissions for the same and the participants will strictly follow all SOPs and adhere to safety protocols.
c) The Organiser reserve the right, to reallocate, resize spaces or changes in layout plan as per the booking pattern and site feasibility as the stalls will be within the bamboo plantation area as well as open space. The booking can be cancel on the basis of misleading or false information, non-payment or under any special circumstances without any intimation or refund. The exhibitors should accept that changes might take place in the Layout of the exhibition venue as per feasibility of the event.
d) The user should strictly follow the payment security norms, confidentiality and care during operations. Any problem arises due to fund transfer through payment gateways, banks, wallets, credit cards, debit cards, mobile apps, internet banking or others modes shall not be our responsibility. The users may contact to respective service providers, banks or financial Institutions for any clarifications, transactions, fund transfers or complication in payments and financial matters.
e) The decision with regard to purchase of any property, materials, plants, equipment or any kind of accessories or any of the services by relying on this exhibition is solely at buyer’s risk, cost and consequences. The company does not warrant the accuracy, approvals, availability, quality, completeness or suitability of the contents, images, materials or the reliability of any offerings by the exhibitors.
f) The exhibitors, visitors, speakers, professionals, staff members, vendors or any officials are sincerely advised to maintain discipline, cleanliness and peaceful decorum during their visit in the exhibition premises and try to learn about exhibits and make their visit more potential.
g) The Users and participates shall give out to the organizer company a non-exclusive, worldwide, royalty-free, irrevocable, sub-license to exercise publicity rights, advertising and marketing in any media material, pictures, video, text or user data about your participation in our events.
h) The exhibitors & visitors are required to follow strictly the safety norms and avoid to bring any dangerous or fire hazardous materials and take all possible precautions for the health, safety and security of everybody in the exhibition premises.
i) The exhibitors are responsible for the setting up of their structure, it’s stability, strength, maintenance during the event and the dismantling after the event in bare shell system.
j) All the vendors have to be approved by the organizer as per the security guidelines.
k) The organiser shall have right, at its discretion, to change, modify, add or remove terms of this agreement or website content at any time without notice. Changes shall be effective immediately. Any special offers, discounts & Promotions can be cancelled without any prior intimation. All the users will be automatically bound by these modifications when you use this site, and should periodically read the terms and conditions, privacy policy.
l) All the matters in connection with the exhibition not provided for by these terms & conditions, shall be settled or determined by the organizers, whose decision in relation thereon shall be final and acceptable to exhibitors, sponsors, visitors and users.
